FinAnswer (“FinAnswer,” “we,” “us,” or “our”) is an advisory platform built for accounting firms, CPA practices, and fractional CFO services. This Privacy Policy explains how we collect, use, store, and protect information when you use our platform at finanswer.ai and any related services (collectively, the “Service”).
By using the Service, you agree to the collection and use of information as described in this policy.

3. Information We Collect
Information you provide directly:
Account registration details (name, email address, firm name)
Client information you add to the platform (business name, industry, engagement details)
Chart of accounts and financial classifications you create
Meeting notes, recommendations, and advisory records you enter or approve
Communications with our support team
Information collected automatically:
Log data (IP address, browser type, pages visited, time and date)
Device information
Usage data and feature interactions
Authentication tokens and session information
Information from third-party integrations:
Financial data from accounting software you connect to the platform (such as chart of accounts, balance sheet data, and income statement data)
Calendar and meeting data from calendar services you authorize
Meeting transcripts and recordings from meeting services you connect
4. How We Use Your Information
We use the information we collect to:
Provide, operate, and maintain the Service
Process and display financial data and KPIs for your advisory practice
Generate AI-powered meeting summaries and insights for accountant review
Send transactional emails and platform notifications
Authenticate users and maintain session security
Monitor platform health, uptime, and performance
Respond to support requests
Improve the Service based on usage patterns
Comply with legal obligations
We do not sell your information to third parties. We do not use your data to train AI models without your explicit consent.
5. How We Share Your Information
We share information only in the following circumstances:
Service providers: We work with carefully selected third-party service providers who help us operate the platform — including cloud infrastructure, authentication, email delivery, meeting transcription, and AI processing services. These providers access your data only to perform services on our behalf and are bound by confidentiality obligations.
At your direction: When you connect third-party integrations (such as accounting software or calendar services), you authorize us to exchange data with those services on your behalf.
Legal requirements: We may disclose information if required by law, regulation, or valid legal process, or to protect the rights, property, or safety of FinAnswer, our users, or the public.
Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a different privacy policy.
We do not share client financial data with any third party for advertising, marketing, or any purpose other than operating the Service.
6. Data Isolation and Security
FinAnswer is built for accounting firms that carry a duty of care over sensitive financial information. We take that responsibility seriously.

Authentication is handled through enterprise-grade identity infrastructure
We maintain audit logging for security-relevant events
No system is perfectly secure. If you believe your account has been compromised, contact us immediately at security@finanswer.ai.
7. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. When your firm deletes a client from FinAnswer, that client’s data is permanently deleted. If you close your account or request deletion by contacting daniel.goldin@finanswer.ai, we will delete or anonymize your data within 90 days of the request, except where we are required to retain it for legal or compliance purposes. Encrypted backups are retained for 7 days and expire on a rolling basis.
Advisory records, meeting summaries, and recommendations you have created are available for export at any time before account closure.

Depending on your location, you may have rights regarding your personal information, including:
Access: Request a copy of the personal information we hold about you
Correction: Request that we correct inaccurate information
Deletion: Request that we delete your personal information
Portability: Request that we export your data in a machine-readable format

10. Third-Party Integrations
When you connect third-party services to FinAnswer (such as accounting software or calendar services), those services have their own privacy policies. Except as described in Section 11 for Google user data, we are not responsible for the privacy practices of third-party services. We encourage you to review their policies before connecting them to the platform.
11. Google User Data
FinAnswer lets accountants connect their Google Calendar so FinAnswer can recognize upcoming meetings with their clients. This section describes how we access, use, store, and share data received from Google APIs.
What we access. With your permission, we request two Google scopes:
View events on your calendars (calendar.events.readonly). This access is read-only — we never create, change, or delete calendar events.
See your primary Google Account email address (userinfo.email). This identifies which Google account you connected.
How we use it. We read your upcoming events and compare attendee email addresses against the client contacts your firm has on file. When an event matches a client, we use its start and end time, its attendee email addresses, and its meeting link to schedule a note-taking assistant for that meeting. We do not read event titles, descriptions, or locations. Events that match no client are not stored by FinAnswer.
What we store. For events that matched a client, we store the calendar event identifier, the calendar identifier, the meeting’s iCal UID, the start and end time, the meeting link, the matched client, and the attendee email address that matched that client. Where an event matched more than one client, we also store which clients it matched. We keep a record when we matched a client but did not schedule an assistant — for example where the match was ambiguous or the event had no meeting link — so your firm can see why a meeting was not captured. Your Google authorization is stored encrypted.
How long we keep it. Google authorization tokens are deleted when you disconnect your calendar. Records of matched client meetings are kept as part of your firm’s advisory record while your firm’s account is active, and are deleted when the client is deleted or on request as described in Section 7.
Who we share it with. Google user data is shared only with service providers that process it on our behalf to deliver this feature: Recall.ai, which connects to your calendar and captures meetings, and Supabase, which hosts our database. Recall.ai receives your Google Calendar events in full, including fields FinAnswer itself does not read. We do not send Google Calendar data to our AI providers — meeting summaries are generated from the meeting transcript and your client’s financial data only. We do not sell Google user data and we do not use it for advertising.
Limited Use. FinAnswer’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we:
use Google user data only to provide and improve the calendar feature described above;
transfer it only as necessary to provide that feature, to comply with law, or as part of a merger or acquisition;
do not use it to serve advertisements;
do not allow humans to read it except with your consent, for security purposes, to comply with law, or when aggregated and anonymized for internal operations;
do not use it to develop, improve, or train generalized AI or machine learning models.
Your choices. You can disconnect Google Calendar at any time from Settings → Integrations in FinAnswer. Disconnecting deletes your stored Google authorization and stops FinAnswer from reading your calendar. Note-taking assistants already scheduled for upcoming meetings are not withdrawn automatically, and records of meetings already captured remain part of your firm’s advisory record. Disconnecting in FinAnswer does not by itself revoke FinAnswer’s access at Google — to remove it there, visit the Security section of your Google Account. To request deletion of your data, contact privacy@finanswer.ai.
12. Children’s Privacy
The Service is not directed at children under the age of 13. We do not knowingly collect personal information from children. If you believe we have collected information from a child, contact us at privacy@finanswer.ai.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the platform. Your continued use of the Service after changes take effect constitutes acceptance of the updated policy.
